Records management that keeps its own order

Records management is the organised rule for registering, moving and keeping a document: which journal an incoming letter is registered in, what number an order receives, who it is passed to by resolution, by when it must be done and how many years it must be kept. When those rules live in spreadsheets and in people’s memory, they break exactly when they are needed most — during an inspection.

In UniDocs the rules are written into the system itself. The registration number is issued automatically and in sequence, the document is filed under the right entry in the nomenclature, a resolution becomes one person’s task with a deadline, and when a retention period runs out the system is the one that remembers.

The result is a journal that is always complete and never has to be "reconstructed". For any date you can see what was registered, who it went to, when it was dealt with and where the original is kept.

Frequently asked questions

Does the system follow the standard rules of records management?

It is built on the same logic those rules require: separate journals by document type, unbroken numbering, a resolution with an owner and a deadline, a file nomenclature and retention periods. A particular organisation’s rules may differ, so configuring the journals, the number format and the nomenclature is yours to decide.

Can the registration number format be changed?

Yes. The format, the prefix, the year part and the starting count are set per journal, so your existing numbering can carry on from the day you move over.

What happens if a task is not done on time?

As the deadline approaches, the owner and their manager are notified; once it passes, the document moves into a separate overdue view. No task simply disappears because its deadline went by.

Is it recorded who changed what?

Yes. Every action — who, when, what changed and from which IP — is written to a separate log that nobody can edit from inside the application.
