Document & Business Process Management

One system for the entire document lifecycle

What Unidocs is

Unidocs is a document and business process management system that brings together, on a single platform, what companies normally do across five or six separate tools: contracts, correspondence, acceptance acts, invoices, electronic signature, file storage and tasks.

The platform is built around Georgian business reality: a Georgian interface and documents, signing with the Georgian electronic ID card, a direct connection to the Revenue Service, and an AI that actually understands Georgian text.

Unidocs is not merely an archive. The system knows the process — who must approve, who must sign, within what deadline, and what should happen next. So a document does not stall in silence, and an obligation does not go unmet.

The problems it solves

Below are the real difficulties the system answers.

Documents get lost in email and on paper

Every document has a number, a status, an owner and a full history. One register instead of ten folders.

Approvals stall and nobody knows with whom

Approval routes, automatic tasks and reminders. It is always visible who is holding the work up, and for how long.

Signing requires meeting in person

Qualified electronic signature (QES) with the electronic ID card — from anywhere, in minutes.

Contract deadlines, acts or invoices get forgotten

The system watches deadlines itself and warns in advance. Recurring acts and invoices are created automatically.

Accounting documents are copied by hand from RS.ge

Waybills and tax invoices synchronise automatically with the Revenue Service.

Documents are sent to counterparties by email

B2B exchange directly between systems — a sent document appears on the other side with its status and history.

Finding the right document is hard

Semantic search — results are found by meaning, not only by an exact word.

There is no record of who saw or changed what

Every action is recorded: who, when, what changed and from which address.

Writing a routine document takes hours

Templates and Unio AI — a draft is ready in seconds; the person only reviews and approves.

Files are scattered across computers and clouds

A single store with versions, access control and in-browser document editing.

How it works

A document's journey from creation to archive — and what the system does for you at each step.

  1. 1

    Creation

A document begins in one of three ways: from a ready template, as a Unio AI draft, or by uploading a file you already have.

Automatically The system assigns the number and fills in party details from the counterparty record.

  2. 2

    Approval

The document travels its approval route — in sequence or in parallel, according to your company's own rule.

Automatically Each approver receives a task and a notification; on rejection the document returns to draft.

  3. 3

    Signing

Once approved, the document goes to the signers — by internal signature or with the electronic ID card.

Automatically The signed version is preserved as its own file, together with the signature certificate details.

  4. 4

    Sending to the counterparty

The other side receives the document by link or straight into their own Unidocs, and signs remotely.

Automatically Every action they take — opening, commenting, signing or refusing — appears on your side as a status.

  5. 5

    Taking effect and fulfilment

The signed contract becomes active. From here the cycle of deadlines, acts and invoices begins.

Automatically Recurring acts and invoices are raised on schedule, and deadlines are announced in advance.

  6. 6

    Archive and oversight

A completed document stays with its full history, its versions and its signature trail.

Automatically Before the term runs out, the system offers you a renewal or a termination.

One document gives birth to the next

Contract Acceptance act Invoice Payment

Each next document is created from the one before it — parties, amounts and terms carry over automatically, so nothing has to be typed again.

Modules

Each module stands on its own, yet they are connected — an act is born from a contract, and an invoice from an act.

Contracts

Creation from a template or by AI, approval routes, versions, signing, fulfilment tracking, renewal and termination.

Correspondence

Incoming and outgoing letters, orders, protocols, service notes, powers of attorney and public-agency correspondence.

Acceptance acts

Act generation from a contract, approval, signing and automatic invoice creation.

Invoices

Creation from a contract, an act or a PDF import; VAT calculation, approval, payment tracking.

Electronic signature

Internal and external signers, ordering, qualified electronic signature (QES) with the ID card and a full audit trail.

Document storage

Personal, shared and organizational spaces, versions, sharing, in-browser editing and comments.

Unio AI

Document generation, data extraction from PDFs, risk detection, semantic search and a chat assistant.

Tasks

Approval, signing and fulfilment tasks with deadlines, delegation and reminders.

B2B document exchange

Direct document exchange with a counterparty's Unidocs, with status synchronisation.

RS.ge integration

Automatic synchronisation of waybills and tax invoices with the Revenue Service.

Statistics and analytics

Views of documents, counterparties and financial indicators, with trends and export.

Unio AI — artificial intelligence inside your documents

Unio AI is the assistant built into Unidocs, and it works with Georgian text. It does not decide for you — it drafts, finds, checks and proposes; the final word always stays with a person.

What it does

Document drafting

A contract, acceptance act, outgoing letter or order — a structured draft in seconds from a short description, using your own templates and party data.

Reading PDFs

Automatic recognition of parties, amounts, dates and line items from an incoming document, an invoice or an order — instead of typing them in.

Semantic search

Answers found by meaning, not by an exact word. Search covers documents, stored files and help articles — strictly within what you are allowed to see.

Chat assistant

Ask the system in plain language: "which contracts need approval", "show me this counterparty's acts". When asked, it prepares the document itself — after your confirmation.

Discrepancy checks

Comparing an invoice's amounts, dates and parties against the contract and the act, flagging differences early.

Proactive reminders

The system notices on its own: a term is expiring, an act is overdue, an approval has stalled, an invoice was never raised from an act — and tells you in advance.

How we use it responsibly

  • Every final decision stays with a person — the AI drafts, the human approves
  • The assistant sees only the documents the user already has access to
  • Every AI operation is logged: who started it, of what kind, and how it ended
  • Usage is measured and capped per organization — runaway cost is not possible
  • Where a rule is enough, a rule runs instead of a model — so the result is predictable

Why a business should use it

01

One system instead of five

Contracts, correspondence, acts, invoices, signing and storage in one place. Fewer licences, less switching, and fewer errors from copying data by hand.

02

From days to minutes

Signing no longer needs a meeting, a printer or a courier. Approval runs in parallel or in sequence — exactly as the company's own rule requires.

03

Nothing is lost to a deadline

The system watches contract terms, expected acts and invoices, and stalled approvals — and notifies the responsible person in advance.

04

Full accountability and audit

Every step is recorded. In an inspection or a dispute it is clear exactly who did what, and when — without guesswork.

05

Built for Georgian reality

Signing with the electronic ID card, Revenue Service integration, Georgian document formats and an AI that understands Georgian — not a translated foreign product.

06

Grows with the company

Packages, fine-grained roles and permissions, a public API, webhooks and automation integrations — so the system fits your process, not the other way round.

Why us

Unidocs is not the only document system on the market. Here is what sets it apart.

A Georgian product, not a localised foreign one

Signing with the electronic ID card, a direct link to the Revenue Service and Georgian document formats cannot be bolted onto a foreign system as an add-on. Here they were part of the architecture from the start.

One vendor, one responsibility

Contracts, acts, invoices, signing and storage were built by a single team. When a process crosses two modules, nobody has to pass the blame to someone else.

Your data lives in its own database

Every organization has a physically separate database. This is not one shared table behind a filter — another company's record simply does not exist in yours.

AI chosen for Georgian, not taken by default

A model trained on English cannot tell two Georgian sentences apart. We picked the model specifically for Georgian, and that difference shows directly in search quality.

The system adapts to your rules

Approval routes, roles, permissions, document types and templates are managed in settings — not by changing code. You do not have to wait for a developer to support a new internal process.

Open integration, no locked doors

A public API, webhooks and ready-made automation templates. Your data is yours — exporting it or connecting another system needs no permission from us.

Security and data protection

A document system holds a company's most sensitive information. That is why protection is built into the architecture itself.

  • Every organization has a physically separate database — data is not pooled into one shared table
  • Two-factor authentication for users and administrators
  • Antivirus scanning of uploaded files
  • Role-based access — a user sees only what belongs to them
  • A complete audit trail of every action, with IP address and timestamp
  • Qualified electronic signature (QES) and signature-certificate verification
  • Encrypted service credentials and IP restriction on the administration panel

Who it is for

Growing companies

That have outgrown spreadsheets and email and need one consistent order of work.

Companies with many contracts

Where tracking deadlines, acts and invoices by hand has already become a risk.

Organizations with formal document flow

Orders, protocols, service notes, a registry office and public-agency correspondence.

Accounting and finance teams

That need RS.ge synchronisation and one place to control invoices.

Legal teams

That need versions, an approval trail and the legal force of a signature.

Distributed teams

Where signing and approval must not depend on being physically present.

Frequently asked questions

Every organization has a physically separate database, and its files live in their own isolated store. This is not one shared table behind a filter — another company's record simply does not exist in yours.

Access is decided by role: your own documents only, your department's, or the whole organization's. A document outside your scope does not appear in search — and cannot be opened from a direct link either.

A card reader, the card's PIN, and the Unidocs signing service installed on the computer — it is free and downloads straight from the system. Signing happens on your own machine; the card and the PIN are never sent to the server.

No. If they have it, the document appears directly in their system. If they do not, they receive a link by email and can read it, comment on it or sign it there, without registering.

Yes. Any document downloads as a PDF, lists export as spreadsheets, and a public REST API is there for system-level extraction. Your data is yours, and leaving needs no permission from us.

The system runs in the browser on any device, phones included. Native mobile apps are in preparation; once they ship, notifications will arrive on the phone as well.

No. Every action — who, when, what changed and from which IP — is written to a separate log that nobody can amend from the application. The signed version is preserved as its own file, so later editing cannot touch what was approved.
