What electronic document flow is, and why a Georgian company needs it

Electronic document flow does not mean turning a document into a PDF. It means that every document has a number, an owner, a deadline and a status — and that all of it is visible at any moment.

A definition that changes the work

Electronic document flow is the whole journey of a document inside an organisation — from the moment it is written or arrives, through handling, approval, signature, delivery and archiving — carried out in one system instead of on paper.

The commonest misunderstanding starts right there. Most companies think they already have electronic document flow, because documents travel by email and sit in a shared folder. But a digital file and a digital process are different things: email carries the document, and keeps no record of whose desk it is on now, which version is the latest, or who approved a change.

What the problem looks like in practice

The symptoms look much the same in almost every organisation:

  • Answering "where is this contract?" means telephoning somebody.
  • Three versions of the same document sit on three computers and nobody knows which is the latest.
  • An incoming letter stayed in somebody’s inbox and the reply deadline has already passed.
  • A contract renewed itself because the notice period slipped by.
  • A colleague left and their correspondence left with them.

What the system changes

A document flow system solves all of that with one principle: a document is no longer a file, it is a record that happens to have a file attached. The record has a registration number, a type, parties, an owner, deadlines and a current status.

As a result, the questions people used to answer are answered by the system instead. "What is overdue", "which contracts end this quarter", "who is handling this letter" — these are filters, not phone calls.

Where to start

The commonest mistake in a rollout is trying to move every process at once. It works far better to start with one type of document — usually incoming correspondence or contracts — and widen from there.

Technically, a cloud system needs no installation. The real time goes into what has nothing to do with software: describing the organisation’s structure, its approval routes and its document types.

How is a document flow system different from file storage?

Storage keeps files. A document flow system runs the process: who the document went to, by when it must be dealt with, who approved it and what state it is in now. Storage answers "where is the file"; the system answers "what is happening with this document".

Does a small company need a document flow system?

Size is not the only test. If a company has contracts with dates, correspondence that must be answered, or several people checking the same document, the system already pays for itself — even at ten employees.
